WORKS Entertainment is a full-service personal management and production company with offices in Los Angeles and Nashville, looking after the careers of a diverse roster of clients and projects across many musical genres. We are seeking to immediately hire an Executive Assistant/Office Manager to support one manager and help run the operations of our growing Nashville office.

Candidates for the position must be highly motivated, and able to perform in a fast-paced and stressful environment. This is a demanding position in a high-performance company.

This opportunity is ideal for someone who knows they want to be a manager in an entrepreneurial environment, and is willing to work long hours on high-volume desk.  Depending on interest and skill set, you will find opportunities to gain experience in a variety of areas of music management, concert promotion and production, festival promotion and production, marketing, A&R, digital strategy, technology, real estate investment, and business development.

Previous assistants have become managers within the company or gone on to become executives at other music and entertainment organizations.

Executive Assistant Responsibilities

  • Directly support the work of one artist manager and 5 clients, and their work in managing (3) day to day managers, (1) head of digital strategy and content, and (1) project manager

    • Complex calendar management and scheduling of internal and external meetings

    • Manage weekly expense reports through Expensify and/or Concur

    • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating calls; any tasks requested by manager

    • Drive and track completion of key deliverables and follow-up on outstanding items and other projects as needed

  • Prepare and compile agendas for heavy volume of conference calls or meetings in advance of meetings; take an active role leading conference calls; distribution of minutes and action items following calls and meetings

Office Management Responsibilities

  • Support the growth and space planning of an office in Orbison Building in Midtown, Nashville, TN

  • Be the point person for all office needs; coordinate with building management, maintain tidiness and supplies of the kitchen, supporting on-boarding of new employees and interns alongside leadership team

  • Support the development of an engaging internship program with manager and head of digital including creating internship postings, interviewing, and hiring

  • Organize team events, All Hands Meetings, quarterly events, etc.

  • Greet clients and visitors, screen calls (may be supported by interns)

Previous experience in music or entertainment is preferred, although not required. A premium is placed on fit in our company culture.

Qualifications

  • Outstanding written and verbal communications skills, with particular emphasis on professional phone manners

  • Proficient in Google Suite (Sheets, Docs, Slides, Calendars), Slack, Asana, and Zenefits; EOS experience preferred but not required to start

  • A twisted sense of humor preferred, but not required

  • Have the ability to switch gears at a moment's notice

  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner

  • Must be able to make a one-year commitment to the job
