Position Summary

Provide support for the Live Events department in all elements of production, logistics & administrative functions. The position requires adept organizational skills, resourcefulness and the ability to handle a multitude of tasks simultaneously under often high-pressure situations. Experienced, take charge professional with ability to manage administration and logistics in a busy special Live events environment. Assist with coordination on all of CMA events. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends. The Live Events Coordinator should have a love for live event management, be an enthusiastic professional, and be able to build relationships internally and externally

Essential Work Functions:

  • Work closely with Sr. Director of Live Events on budget management & submission of invoices
  • Catalog all vendor information, bids, and contracts
  • Provide departmental support for all research, document management and administrative needs
  • Assist with all event signage including inventory, delivery and placement for all of CMA’s events
  • Assist with ticketing and credentialing for all CMA events
  • Coordinate radio and golf cart distribution at CMA Music Festival
  • Assist with event footprint maps and renderings
  • Research logistical solutions (parking, credentials, concessions) for all CMA events
  • Assist with Board of Directors meeting preparation
  • Manage notes for department meetings
  • Manage internal event schedules for all CMA events
  • Assist with catering needs and logistics for CMA event space and all CMA events
  •  Provide logistical support for CMA Songwriters Series
  • Order & manage purchase cards needed for major CMA events
  • Execute and compile all paperwork for Live Events temp hires
  • Coordinate street closures and permits for all CMA events

Physical Demands/Requirements

  • Working outside in hot, cold and/or rainy conditions
  • Occasional lifting of light objects (less than 24 pounds)
  • During event times, the job requires working overtime, weekends & occasional holidays
